Privacy Policy
How PayloadOps handles the information you and your team put into the platform.
PayloadOps (“PayloadOps,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you use the PayloadOps platform (the “Service”) or visit our website.
01Scope
This Privacy Policy applies to information collected through the Service and our website. It does not apply to third-party services, even when accessed through the Service. Your use of third-party services is governed by the privacy policies of those services.
02Information We Collect
Account Information. When you or your organization creates an account, we collect name, email address, phone number, company name, and role.
Customer Data. You submit business data to the Service, including project information, bids, financial records, employee records, vendor records, documents, photographs, and communications. This is your data; we hold it on your behalf.
Usage Data. We collect information about how you use the Service, including pages viewed, features used, actions taken, IP address, browser type, device type, and timestamps.
Cookies and Similar Technologies. We use cookies to maintain sessions, remember preferences, and analyze usage. You can control cookies through your browser settings.
Communications. When you contact us for support or otherwise correspond with us, we retain those communications.
03How We Use Information
We use information to:
- Provide, maintain, and improve the Service
- Authenticate users and secure accounts
- Process transactions and manage subscriptions
- Communicate with you about the Service, including support and administrative messages
- Detect, prevent, and respond to fraud, abuse, and security incidents
- Comply with legal obligations
- Improve the Service through aggregated and de-identified analytics
We do not sell your information. We do not use Customer Data to train artificial intelligence models for the benefit of other customers.
04AI Processing
The Service uses artificial intelligence provided by Anthropic (Claude) and other AI providers to power features including document scanning, data extraction, catalog matching, and report parsing. When you use these features, relevant data is sent to the AI provider for processing. Our AI providers are contractually prohibited from using your data to train their models. AI outputs may contain errors; you are responsible for reviewing and confirming AI-generated content.
05How We Share Information
We share information only as follows:
Service Providers. We use third-party service providers to host and operate the Service, including Supabase (database and authentication), Vercel (hosting), Anthropic (AI processing), and others. These providers may access information only as needed to provide services to us and are contractually obligated to protect it.
Integrations You Enable. When you connect the Service to third-party services such as QuickBooks, Google Drive, or Intuit Payroll, we exchange information with those services as directed by you.
Legal Requirements. We may disclose information if required by law, court order, or government request, or to protect the rights, property, or safety of PayloadOps, our users, or others.
Business Transfers. If PayloadOps is involved in a merger, acquisition, or sale of assets, information may be transferred to the successor entity, subject to this Privacy Policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
06Data Isolation and Security
PayloadOps uses a database-per-tenant architecture. Each customer’s data is stored in a physically separate database with its own authentication system. Your data is not stored in shared tables with other customers.
We employ industry-standard technical and organizational measures to protect information, including encryption in transit and at rest, encrypted secret storage, role-based access controls, and audit logging. No system is completely secure, and we cannot guarantee absolute security.
07Data Retention
We retain Customer Data for the duration of your subscription and for thirty (30) days following termination, after which Customer Data may be deleted. Aggregated or de-identified data may be retained longer for analytics purposes. Account information and communications may be retained as required by law or for legitimate business purposes.
08Your Rights
Depending on your jurisdiction, you may have rights regarding your personal information, including the right to access, correct, delete, or export your information, and the right to object to or restrict processing. To exercise these rights, contact support@trypayloadops.com. We will respond within the timeframe required by applicable law.
California Residents
Under the California Consumer Privacy Act, you have additional rights including the right to know what personal information we collect and the right to non-discrimination for exercising your rights. We do not sell personal information as defined under the CCPA.
09Children’s Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact support@trypayloadops.com.
10International Users
The Service is operated from the United States. If you access the Service from outside the United States, you consent to the transfer and processing of your information in the United States, which may have different data protection laws than your jurisdiction.
11Third-Party Links
The Service and our website may contain links to third-party websites. We are not responsible for the privacy practices of third parties. Review their privacy policies before providing information.
12Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service at least thirty (30) days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance.

14Security Disclosure
If you believe you have discovered a security vulnerability in the Service, please report it to support@trypayloadops.com. We commit to acknowledging reports within 72 hours and to not pursuing legal action against good-faith security research.
